Privacy policy

How DentAssurance collects, uses, protects and deletes personal data, including your patients' data.

Who we are

DentAssurance, Samruddhi-1, Fifth Floor, Besides Navbharat Gas Agency, Railway Lines, Solapur 413001, Maharashtra, India ("DentAssurance", "we"). Contact us on +91 80878 01649 or through the contact form on this website.

What we collect

  • Dentists: name, clinic, city, qualification, dental council registration number, email, mobile number and a password (stored only as a one-way hash).
  • Patients (provided by their dentist, or by patients who create their own account): name, age, sex, contact details, medical history, clinical notes, and the photos, reports, scans (DICOM) and 3D models (STL) that are shared.
  • Radiologists and applicants: the details entered in the invitation or careers form.
  • Website visitors: messages sent through the contact form, and technical logs needed to keep the service secure.

Why we use it

  • To verify dentists and run their accounts.
  • To let a radiologist read the scans and write a report for the referring dentist.
  • To send account, case and security notifications.
  • To prevent fraud and misuse, and to meet legal obligations.

We do not sell personal data or use it for advertising.

Patient consent

Dentists confirm, when they sign up, that they have their patients' consent to share scans and clinical details with DentAssurance for reporting. Patients with questions about their data should first contact their dentist.

Who can see a case

Only the dentist or patient who created the case, the reviewer it is assigned to, and DentAssurance administrators. Reviews are anonymous: the radiologist does not see the patient's name or contact details or who referred the case, and names are removed from the scan files before review. Dentists and patients see the reviewer only as a DentAssurance expert. Scans and files are served only to signed-in users with access to that case.

How we protect it

  • Personal details, clinical notes, reports and uploaded files are encrypted (AES-256) before they are stored, with the key kept separately from the database.
  • Passwords are stored as Argon2 hashes. Accounts lock temporarily after repeated wrong passwords, and staff can use two-step verification.
  • The scan server is not reachable from the internet; every image request goes through access checks.
  • Security-relevant actions (logins, approvals, report changes, scan views) are recorded in an audit log.

How long we keep it

  • Scans and the files sent with a case: deleted automatically 6 months after the case is submitted. The submitter is reminded beforehand.
  • Reports and case records: kept so dentists can retrieve them later. Dentists are responsible for keeping their own copy of clinical records for as long as the law requires.
  • Unsubmitted draft cases are deleted after 30 days.

Your rights

You can ask to see, correct or delete your personal data, or withdraw consent, by contacting us. We may need to keep some records where the law requires it. You may also complain to the Data Protection Board of India.
